1 BOOKINGS
(a) Hugo Safaris Uganda will provide transportation, accommodation, restaurant meals, excursions, and other services in cooperation with other independent suppliers.
(b) All information detailed in client itineraries is given to the best of Hugo Safaris’ knowledge and based on the latest information available. Hugo Safaris Uganda cannot be liable for modified information from third parties, nor for any obvious typing errors.
(c) In order to reserve for Gorilla and chimpanzee permits we, shall need your full names as they appear in your official documents (PASSPORT, your passport number and nationality).
(d) n Before confirming a safari, our esteemed client(s) should inform Hugo Safaris of any preferences and special requests of the participants; for stance dietry problems (like the vegans, vegetarians etc.), medical needs, physical or body incapacities (like disabilities). Hugo Safaris Uganda will try by all means possible to meet the requests presented to them.
(e) Our safari packages are all subjected to availability and not guaranteed until confirmed by Hugo Safaris Uganda. All Hotels, Lodges and (camping sites and tents if requested) offered by Hugo Safaris in most cases like in Peak seasons have limited capacity, therefore it is of great paramount to reserve in advance of your planned safari.
(f) In the event of the client(s) wishing to change or amend their reservation(s) to a future date than the requested or stipulated in the reservation, Hugo Safaris Uganda will make the preferred adjustment where possible in its capacity and confirm accordingly. Hugo Safaris reserves the right to charge an amendment fee relative to the actual costs, which will be added to the total invoice.
(g) Hugo Safaris Uganda reserves all the rights to change and re-adjust the safari schedule, transportation, accommodation, and services indicated in the itinerary in the event of unforeseen circumstances before arrival. Any changes to the itinerary will be communicated to the client as soon as possible.
2 PRICES
(a) The prices quoted for the various safaris are as per the itinerary and include the following services unless stated otherwise: overnight in hotels, guesthouses, tents, or lodges, all meals as indicated, sightseeing as detailed in the itinerary, park entrance fees, and ranger fees, airport transfers where applicable, ground transportation, English speaking driver/guides and bottled mineral water in the vehicle.
(b) Expenses that shall not be covered by Hugo safaris include among others: international and domestic air fares, visa and passports, meals not mentioned in the itinerary, beverages and drinks other than the mineral water provided in the vehicle, tips and gratuities for the guides and accommodation staff, laundry, travel insurance and other items of personal nature/use.
(c) The prices that are quoted to our clients or on the website are subject to change without notice and are not guaranteed until confirmed in writing.
(d) Hugo Safaris Uganda reserves the right to adjust prices at any time should there be any fluctuation in the exchange rate of a Dollar or increase in the cost of any item/element of the safari, however Hugo safaris Uganda will make every endeavors to minimize/reduce any increments.
3.EXECUTION OF THE TOUR/SAFARI
(a) It is a privilege to see animals in their natural habitat and as such, we cannot guarantee wildlife or game viewing but It all depends entirely on nature. It’s advisable and a must to take caution while viewing animals, strictly and carefully follow the instructions given to by either the English/Spanish/French/Germany/Dutch tour guide or wildlife/park rangers.
(b) Gorilla or chimpanzee permits guarantee clients that they will be able to track the primates (our next Cousins) above but does not entirely guarantee that the animals shall be in plain sight.
(c) The accommodation provided by Hugo safaris Uganda is always based on a twin or double-bedded room, tent or banda, with private bathroom where possible. In some cases, Single rooms shall be available with the payment of a supplement fee but their availability cannot always be guaranteed.
(d) Hugo Safaris Uganda reserves the right to substitute to an equivalent or superior hotel, if a hotel of equivalent standard is not available. Hugo Safaris may substitute the next best quality hotel or suggest superior standard accommodation (but extra charges may apply).
(e) The type or mode of transport used will be dependent on the number of clients and the route taken, based on the specifications of the chosen itinerary. All or every effort(s) shall be made to ensure that vehicles are provided in a roadworthy condition but no liability shall be accepted in case of a puncture, breakdown, damage, or any delay as a result of the poor road conditions within and outside the country (Uganda).
(f) Hugo safaris Uganda has experienced English-speaking tour guides / drivers who will be a key part of your tour. They are the only person(s) allowed to drive Hugo Safaris’ vehicles. In most cases the driver’s decision on all matters including the route taken or to be taken is final.
(g) Hugo Safaris Uganda reserves the right to alter any route or arrangement, cancel the operation of any scheduled tour, or vary the safari services in any way in the event of unforeseen circumstances, such as political instability or civil unrest, road closures, bad weather which comes with floods, or problems with national parks or hotels and other security considerations. In such cases, alternative arrangements will be made as circumstances permit.
(h) Hugo Safaris Uganda reserves the right to employ subcontractors to carry out all or part of the services agreed to be supplied.
(i) Hugo Safaris Uganda reserves the right to refuse any person from participating or continuing any tour if, in Hugo Safaris’ opinion or in the opinion of any other person in authority, the person concerned behaves in such a way as to cause or be likely to cause danger, hazard or inconvenience to any third party, damage to property or to environments and ecosystems. No refunds will be made and Hugo Safaris shall not be liable for expenses incurred as a result of the termination.
4. PAYMENT
(a) All safaris/tours shall be booked and confirmed upon the receipt of a 35% deposit of the basic program rate. For the case of gorilla and chimpanzee permits, a full advance payment of the permit fee is required in order to allow us make the reservations in the appropriate time possible.
(b) The remaining balance shall be paid not later than 35 days prior to the safari unless agreed upon between Hugo safaris and the client(s) otherwise.
(c) All Bookings made within 30 days before arrival must be paid in full amount at the time of confirmation.
(d) If payment is not received in accordance with the above then Hugo Safaris has the right to terminate or cancel the booking as soon as possible.
(e) All prices are quoted in US Dollars and Payments can be made by VISA credit card, bank transfer, or cash, before the start of the safari. Note that payments by VISA credit card attract a 7-9% surcharge in line with the prevailing rate at the time of the transaction. Cash payment is accepted at the current Hugo safaris Uganda Dollar buying rate. Credit card transactions must be made at least two months prior to the start of your safari. Regretfully, traveller’s cheques are no longer accepted and old USD Dollar notes aren’t accepted in some hotels that is they start from year 2017 up-wards or else you will get very low exchange rates.
(f) The costs of international transactions (or 7-9% surcharge in case of credit card payments) are to be fully paid by the client(s) and in Kampala, Uganda shilling is accepted in line with that day’s exchange rate.
5. CANCELLATIONS/REFUND
(a) All cancellation requests must be made in writing and shall be effective on the date of actual receipt by Hugo Safaris Uganda.
(b) The following cancellation charges apply to the basic program rate:
75-80 days prior to the arrival 15%
60-75 days prior to the arrival 30%
30-59 days prior to the arrival 60%
10-29 days prior to the arrival 75%
03-09 days prior to the arrival 90%
72Hours prior to the arrival No refund at all
Hugo Safaris reserves the right to deduct all other expenses incurred from any advance payments made.
(c) Gorilla and chimpanzee permits are 100% non-refundable.
(d) No refunds will be made for any unused services, late arrival, or no-show up of any of the members of the safari or group.
6. COMPLAINTS
(a) (a)Hugo Safaris Uganda shall try to ensure that the company exceeds the expectations in every area of the tour arrangements. However, suggestions are very much appreciated in order to keep improving the quality of the service.
(b) All complaints should be reported immediately to the Hugo Safaris Uganda representative and the supplier of the service in question and should be in writing and not later than 30 days after completion of the safari and Hugo safaris will do their best to resolve the matter to the client’s satisfaction.
7. LIABILITY
(a) Hugo Safaris Uganda will make every effort to ensure that all arrangements and services offered as part of the safari are carried out as specified in the most efficient way possible. However, the company does not have direct control of the provision of services by suppliers, and, whilst every supplier is chosen with the utmost care, Hugo Safaris Uganda does not accept liability for errors or omissions of such suppliers.
(b) Hugo Safaris Uganda shall not be liable for any loss, damage, or injury of any nature whatsoever whether to person or property.
(c) Whilst every care is taken, Hugo Safaris Uganda cannot be held responsible for the direct or indirect costs of loss or damage to baggage or personal possessions.
(d) Hugo Safaris Uganda cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
8. TRAVEL DOCUMENTS AND MEDICAL REQUIREMENTS
(e) It is the responsibility of the travel agency/wholesaler to ensure that all members of the tour have the appropriate passports, visas, travel permits, health certificates, and other documentation required for the safari.
(f) It is the responsibility of the clients to take proper medical and practical precautions in regard to health and safety. Medical advice should be sought well before traveling.
(g) Clients are strongly advised to obtain comprehensive travel insurance before coming to Uganda. Local evacuation coverage is available in the unlikely event of a medical emergency while on safari with Hugo Safaris.
(h) The respective laws of the country govern Hugo Safaris’ liability to passengers carried in its own vehicles. All claims are subject to the jurisdiction of the courts of the country in which the cause of action arises.
